Notification on the processing of personal data and Data Protection Policy

Starting 25th of May 2018, the most recent European data protection regulation becomes applicable, EU Regulation 2016/679, which was designed to better protect personal data of individuals and the free circulation of this data. You may have heard of it as  GDPR – General Data Protection Regulation

We want to assure you of the utmost importance we pay to the personal data and respecting all obligations regarding the security of data. Because of this, we want to inform you about your rights, conforming to GDPR.

What is the data we process?

We process the personal data that you provide us directly, as well as data that is generated based upon it. For example: first name and last name, your phone number, data about your ID card for proper identification, and for our employees we also process personal identification numbers, email addresses and Skype Ids for communications. We will collect personal data the moment you are using our services, to proper developing our trade relationships, to fulfill our contracts or to be able to provision our services.

What are the lawful purposes?

Your personal data is collected directly from you to pursue our legitimate commercial interest, in order to comply with our legal requirements and based on your consent for marketing purposes.

When do we need your consent?

Only based on your consent, which you have expressed at the beginning of our collaboration, your data will be used for direct marketing purposes, to send you information about the most appropriate products and services that we can supply to.

Your data is processed especially to fulfill the contracts and orders as needed, to fulfill any legal obligation that we need to, for example „know your customer”, combating fraud, money laundering regulations, policies against financing terrorism, but also to manage authorities check regarding customer relationships. When we reply to your requests, we process a series of data, in our legitimate interest to improve our services, security and to train our personnel, all with the ultimate goal of delivering quality services beyond your expectations.

What is the purpose of data processing?

Processing of your data takes place when we process your orders, send you offers, invoice our products and services and when we communicate with you regarding our commercial relationship, but also when processing your orders we need to work with different stakeholders and suppliers.

Where does your data go?

To be able to deliver our products and services, it is necessary that we share some of your data with our suppliers: curriers, accounting services, external suppliers like transportation and logistic suppliers (DHL and UPS) and insurers. Also, there might be situations in which the law requires us to do certain reporting or we need to share data with supervisory, fiscal and judicial authorities.

When we share your data with entities outside European Union, we request those entities enough security warranties to cover the warranties imposed by the GDPR Regulation.

How long do we process your data?

Your personal data is processed for the duration of our commercial relationship and sometimes even longer, in order to fulfil our legal obligations (like archiving obligations).

What are your rights?

You have the right to access your data, to update/rectify your date, to erase your data (or „the right to be forgotten”); right to restrict processing, the right to data portability, the right to oppose or the right not to be subject to an automated processing decision. You have the right to withdraw your consent at any time and, if you feel, that the processing of your data was not correct, you have the right to address to the supervisory authority, as you consider necessary.

Data Security 

All your personal data are stored in maximum security on secure systems, with all data being encrypted from the initial insertion. All of our systems are regularly audited to ensure your data is safe.

Terms and conditions of our trade relationship

Our BidSense General Terms and Conditions of Business  were also updated to reflect the requirements of GDPR regulations and according to the present Data Policy, and they are the basis of our trade relationship. This way we can offer all our customers the peace of mind that their rights on personal data are applicable and we endeavor to reflect this in all our paperwork. This notification and Data Policy will always govern the processing of your personal data in order to fulfill our commercial relationship.
